General Manager Three Day Week

Leicester Dance Theatre are seeking an experienced and confident General Manager to work with the Executive Director to ensure the smooth operation of the organisation. You will be responsible for the effective day-to-day operation of both Aakash Odedra Company and Shiamak Midlands, as well as leading on our governance and reporting requirements, both to our Board, and to Arts Council England (ACE). This is an exciting opportunity for someone interested in the arts with strong administration skills.

Our new General Manager will work 3 days a week from our company studios, based on Leicester’s Golden Mile. Starting salary is £18000 for 3 days per week (£30000 FTE). You will join us at an exciting time as we prepare for the UK tour of Samsara this Autumn, and as we begin to develop our next business plan.

Areas of Responsibility

Administration

• Ensure data collection, management, analysis and reporting systems are robust and embedded in all areas of the company
• Ensure the company is compliant with data sharing requirements
• Ensure the fulfillment of all legal and financial procedures required in relation to Companies House and other statutory and regulatory bodies
• Manage the administration of Aakash Odedra Company’s National Portfolio grant from Arts Council England
• Assist at public events organised by Aakash Odedra Company as required

Office and Studio

• Oversee the effective and efficient running of the company office and studio spaces on Belgrave Road
• Manage the office space and studios ensuring compliance with the company’s health and safety policy
• Manage office/studio cleaner to ensure high standards of cleanliness

Finance

• With the Executive Director prepare the company’s annual budget
• With the Finance Office, prepare the quarterly management accounts, cash flow forecasts and information for trustees, auditors and funders consulting with the budget holders.
• Liaise with the Finance Officer and Executive Director to prepare the information for the Accountant for the end of year accounts
• Ensure robust financial systems, processes and records are in place with appropriate controls and procedures
• Oversee the salary administration process (carried out by the Finance Officer), and all banking arrangements
• Manage supplier relationships including utility companies and undertake annual price comparisons to ensure best value

Governance

• Ensure the timely preparation and circulation of board papers and other governance documentation for the quarterly board meetings and advisory group meetings
• Take accurate minutes of the quarterly board meetings (including the Finance Committee Meeting, NPO and the Board) and distribute to board members
• Act as Company Secretary for the company overseeing the servicing of the board and Sub Committees and ensuring the timely provision of information for decision-making
• Review governance processes to align with financial reporting and ensure compliance with relevant legal and financial requirements
• Ensure all company policies are up to date and relevant including Health & Safety and Safeguarding policies
• Maintain dialogue and communications with board members
• Arrange induction and training of board members

Information Technology

• Set-up new starters on the system and provide basic IT training to staff.
• Ensure IT queries and issues are resolved quickly and effectively, utilising the IT support consultant as required
• Ensure company files and documentation are filed correctly and backed up regularly
• Ensure IT equipment is in good condition and available for use as required. Liaise with IT engineers on hardware problems
• Ensure cost-effective replacement of items in agreement with the Executive Director

Human Resources

• Oversee the review and implementation of up-to-date policies and procedures for the recruitment, retention and development of staff, freelance contractors and volunteers in line with legislation and good practice
• Maintain up-to-date job descriptions and ensure performance evaluation procedures are implemented
• Monitor all personnel and HR procedures including DBS checks, induction & performance reviews and health and safety, and revise as necessary
• Issue contracts of employment, ensuring consistency and best practice
• Maintain central HR files recording TOIL, sickness and holiday absences
• Manage recruitment processes in conjunction with the Executive Director

Equality and Diversity

Health and Safety

• Act as Health and Safety Officer for the company (training to be provided if required)
• Work in accordance with the requirements of the company’s Health and Safety Policy
• Act as first aider for the office and studio and maintain an up-to-date accident book
• Act as Fire Marshall for the building at designated times. This duty is shared with all other team members

In addition, undertake any other duty or responsibility, which may reasonably be requested by the Executive Director, Artistic Director or Board.
